GEFC Directory™ (GEFC) / How do I delete multiple records in a GEFC file?
« on: September 05, 2014, 05:02:02 PM »
I have my file from last year, which I have been starting to edit by removing a few old members and adding quite a few new ones.  All was going well until I was trying to remember how to add a picture to a new file and all of a sudden I have over 23,000 files.  I still have the ones I need in there, but I have over 23000 of the first person, John Smith  How can I remove all but one of John Smith’s file and keep the rest?

As you may know GEFC will only let you delete one record at a time.  So what you really need to do is a MASS delete 23000 records at once.

I have a work around to do this.  There are two tutorials in the Picture Directory forum that you should review.

1.   EXPORT FROM GEFC INTO AN EXCEL FILE
2.   IMPORT FROM EXCEL INTO A NEW GEFC FILE

In step 1 you create an Excel file where you can delete multiple records all at once.  You are then left with only the records you want in your GEFC database.  Once you have the selected records in Excel, you use step 2 to import those records into a NEW GEFC database.

GEFC Directory™ (GEFC) / Upgrade to GEFC 2.2
« on: January 20, 2014, 05:55:34 PM »
I purchased the 2.0 version and was wondering what is the best way to upgrade to the newest version. Also, what are the best new features?

If you go out to our web site at Picture-Directory.com you will see under the DOWNLOADS tab the following.

GEFC Directory 2.2 Update to 2.2.25 Only   This is the update to you 2.0 system.

GEFC Directory™ 2.2 New Features

GEFC Directory 2.2 is Pictorial Directory Software and has all of the features of GEFC Directory 2.0 plus these new features:

Ability to Left Justify, Center, or Right Justify Horizontal Alignment and Top, Center, and Bottom Vertical Alignment of Directory Photos

More Page Design Templates to choose from

Saves recently used Page Designs in a convenient list for you to choose from

Import Text delimited files in addition to the existing export function
This allows a user to backup their files to a diskette or CD but it does not backup calendar/events
If you want to backup everything you must copy you .GFC and .GPD files to a diskette or CD
No checking is done for duplicate records

Enter multiple Email addresses for an individual
Must separate each Email address by a semi-colon (;)
Brings up Email software (Outlook or Outlook Express) when you click on the Email button on the main screen (bottom right corner).

Allows user to merge two (2) GEFC databases into one.
This function allows multiple users to do data entry to speed up entering all of the individuals to be combined into one database.
No checking is done for duplicate records
Multiple users requires multiple GEFC licenses (i.e. one for each PC)

[Text lookup box added to main directory window]
Text lookup box added to main directory window
Move cursor to the lookup textbox
As you type it finds records matching
For example, "b", could position to Barnes, and adding an "r" for "br" would then position to Brown
Provides very quick record lookup even for a database with hundreds or even thousands of entries

When making changes to Page Designer you are prompted to save your changes
Background images in Page Designer are now are printed
Saving events (birthdays/anniversaries) in now done when adding a new entry
In Page Designer, blank page no longer prints at the end of the directory

GEFC Directory™ (GEFC) / Combine 2 directories into one.
« on: December 03, 2013, 06:39:50 PM »
Our church would like to combine two booklet style together. The first is a name directory with all contact info, the last pages to be a picture directory with names only. I have used page designer to make each section, but have not found a way to combine them into 1 directory. total pages would be 17+cover/back. Any help would greatly be appreciated.

The way GEFC was designed was to only handle one directory at a time.  You could do this manually by printing two directories.  If you are doing a booklet format you could insert the name only in the center of the contact directory.  If you are using the full page you could just attach the name only to the end.
